Importing Data into SAM

Efficient data management is vital for any business, and SAM makes it easy to import data from a variety of sources. Whether it’s contact lists from trade shows, campaign data, or customer records from another system, SAM’s import functionality ensures seamless integration. Importing records into SAM is not only simple but also designed to help you maintain clean, organised, and duplicate-free data, enabling you to focus on driving your business forward.

Method for Importing Data

SAM provides flexibility in importing data with the following approach:

Module-Specific Imports: Individual CSV files can be imported into specific modules within SAM. During the import process, you’ll map the fields in your CSV file to their corresponding fields in SAM, ensuring all required data is accurately transferred.

Pre-Import Checklist

To ensure a successful import, follow these important steps:

  1. Verify Permissions: Only users with administrative privileges can perform data imports in SAM. Make sure you have the necessary access rights before proceeding.
  2. File Format: Supported format: Comma-Separated Values (CSV). Avoid using XLS/XLSX files, as embedded controls like filters or images can cause errors.
  3. Mandatory Fields: Every required field in SAM must have a corresponding value in your CSV file. For instance, if you’re importing account information, ensure each record includes an Account Name. You won’t be able to proceed until all mandatory fields are mapped correctly.
  4. Boolean Data (Checkbox Fields): Ensure any data intended for checkbox fields (e.g., Yes/No or True/False) is formatted appropriately to match SAM’s accepted values.
  5. Dropdown Values: Confirm that all dropdown list values in your CSV file already exist in SAM. If not, you’ll need to update the SAM fields before importing.
  6. Field Names and Headers The first row of your CSV file should contain column headers or field names, not actual data values. These headers help SAM recognize and map your data accurately.

Step-by-Step Guide to Import Data

Here’s how you can easily import data into SAM:

  1. Log In as an Administrator: Use an account with administrative access to log in to SAM.
  2. Open the Import Option: Navigate to the Administration Menu. From the available options, select Imports to open the Import window.
  3. Select a Module for Import: At the top of the Import screen, use the dropdown menu to view all modules that support data import. Select the specific module where you want to import your data (e.g., Accounts, Jobs, or Assets).
  4. Upload Your CSV File: Click on Choose File and browse your desktop or local system to select the CSV file you wish to import.
  5. Field Mapping: Map each column header in your CSV file to the corresponding field in SAM using the double arrow buttons. If a mistake is made, the double arrow buttons allow you to reverse or adjust the mapping effortlessly. Continue until all fields are correctly matched.
  6. Save and Import: Once all fields are mapped, click the Save button to complete the import process.
  7. Verify the Import: After the process is complete, navigate to the module’s Overview Page and review the imported records. Ensure all data has been imported accurately and without errors.

Best Practices for a Smooth Import

  • Organize Your Data: Prepare and clean your data in advance. Remove duplicates and standardise formatting for consistency.
  • Use Clear Headers: Ensure your CSV file includes clear, descriptive column headers to make field mapping easier.
  • Test with Small Files: If you’re new to importing, test the process with a smaller data set before importing larger files.
  • Backup Your Data: Always back up existing records in SAM before performing a large import, just in case.
