Recurring Jobs

The Recurring Entries feature in SAM’s Job Module is a powerful tool designed to automate repetitive job scheduling and streamline operations. It enables users to set up jobs that recur on a regular basis, saving time and reducing the risk of missing important tasks or deadlines.

Setting Up Recurring Entries

Before creating a recurring entry, ensure that the job you want to recur is properly set up. Enter all the key information for the job, such as the job title, description, assigned engineer, and any associated customer or asset details. Access the Recurring Entry Option:
  • From the job’s detail screen, select the Recur menu option.
  • This will open the Recurring Entry window.

Set The Recurrance Pattern

Example with Fixed Recurrances

  • Recurrence Type: Choose between “Fixed” or “Continuous.” For this example, we will set the recurrence to Fixed.
  • Frequency: Specify how often the job should recur. In this example, we set the frequency to 30, meaning a service visit will occur every 30 days.
  • Start Date: Select the start date for the recurrence. For this example, we choose 20/01/2025.
  • Recurring Time Span: Define the time span for the recurrence (e.g., hours, days, weeks, or months). In this example, we set the time span to days.
  • Number of Entries: Specify the total number of recurring entries. For this example, we set the number of entries to 5.

The image below demonstrates the results of these settings.

Example with Continuous Recurrence

If we repeat the above example but set the recurrence type to Continuous, you will notice a key difference:

  • The Number of Entries field is greyed out.
  • The number of entries in the schedule automatically increases to 12, as continuous mode always displays twelve entries until the recurrence is cancelled.

This feature ensures that jobs are continually scheduled without requiring manual adjustments, providing seamless scheduling for ongoing tasks.

Tracking Recurring Jobs

  • Once scheduled, recurring jobs are automatically generated and added to the Job List.
  • These jobs are treated as individual entries, making it easy to assign engineers, update statuses, or make adjustments as required.

Key Benefits of Recurring Entries

  • Time Savings: Automates repetitive scheduling, freeing up administrative resources for other tasks.
  • Consistency: Ensures critical jobs, such as routine maintenance or inspections, are never overlooked.
  • Flexibility: Allows businesses to define custom recurrence patterns that suit their unique operational needs.
  • Improved Efficiency: Reduces the manual effort required to manage ongoing jobs, enabling smoother workflows.

By leveraging the Recurring Entries feature in SAM’s Job Module, businesses can simplify their scheduling processes, improve consistency in service delivery, and ensure that recurring tasks are managed efficiently and on time.
