Invoice List and Management

The Invoice Overview screen provides a central location for viewing and managing all invoices within the SAM App. This screen displays a complete list of invoices created in the system and allows users to quickly access invoice records, perform administrative tasks, and manage the invoicing workflow.

Each invoice displayed in the list includes key information such as the invoice number, customer name, invoice date, total value, and current status. This allows users to easily review outstanding invoices, track billing activity, and monitor invoice processing across the system.

From the Invoice Overview screen, users can open individual invoices to view or edit the full invoice details, or perform bulk actions on multiple invoices at once. This makes the screen particularly useful for managing high volumes of invoices efficiently.

Creating New Invoices

Users can create a new invoice directly from the Invoice Overview screen.
To create a new invoice:

  1. Click the New Invoice button.
  2. The Invoice Details screen will open.
  3. Enter the required customer and invoice information.
  4. Add the goods or services being billed.
  5. Click Save to create the invoice.

Once saved, the invoice will appear in the invoice list.

Deleting Invoices

Invoices can be removed from the system if they were created in error or are no longer required.
From the Invoice Overview screen, users can:

  • Delete a single invoice
  • Select multiple invoices and delete them in bulk

This allows administrators to quickly remove incorrect or duplicate invoices from the system.

Posting Invoices to the Accounts System

Invoices can be posted directly to the connected accounting system from the Invoice Overview screen.
Users can select:

  • A single invoice, or
  • Multiple invoices

and then choose the Post to Accounts option.
This process sends the invoice data to the configured accounting platform, ensuring that financial transactions are recorded correctly

Synchronising Invoices with the Accounts System

The system also allows invoices to be synchronised with the accounts system, ensuring that invoice records remain consistent between SAM and the external accounting platform.
Users can synchronise:

  • Individual invoices
  • Multiple invoices at the same time

Supported accounting systems include Sage 50, Sage Accounting, Xero, and QuickBooks.
For Sage 50, synchronisation is handled through the SageLink integration service, which transfers invoice information between SAM and Sage 50.

Exporting Invoices

The Export Invoices option allows users to export invoice data for reporting, analysis, or external processing.

Exported invoice information may include details such as:

  • Invoice numbers

  • Customer information

  • Invoice dates

  • Invoice values

  • Payment status

This feature is useful for generating financial reports or sharing invoice data with other business systems.


Emailing and Printing Invoices

The Invoice Overview screen also allows users to send invoices directly to customers or generate printed copies.

Users can select one or multiple invoices and choose one of the following options:

  • Email Invoice – Sends the invoice to the customer by email.

  • Print Invoice – Generates a printable version of the invoice.

These options provide a quick and efficient way to distribute invoices without needing to open each invoice individually.


Efficient Invoice Administration

By providing tools to create invoices, manage invoice records, perform bulk actions, and integrate with accounting systems, the Invoice Overview screen serves as the main administrative interface for invoice management within the SAM App.

This allows businesses to efficiently manage large numbers of invoices while maintaining accurate billing records and financial reporting.
